Inviting team members

If you’re working as part of a team or organisation, Mindchart allows you to invite colleagues so you can manage outcomes and data together in a secure and structured way.

Inviting team members helps ensure consistent measurement, shared visibility, and appropriate access across your service.


Who can invite team members?

Only users with the appropriate permissions (such as account owners or administrators) can invite others to join an organisation.

If you’re unsure whether you have permission, contact the person who set up your provider account.


Step 1: Open organisation settings

After signing in to Mindchart:

  1. Navigate to Settings
  2. Select Organisation or Team settings
  3. Choose Members or Users

This is where you can view existing members and manage access.


Step 2: Send an invitation

From the team management page:

  1. Select Invite member
  2. Enter the colleague’s email address
  3. Assign an appropriate role (see below)
  4. Send the invitation

Each invitation is sent as a secure email link.


Step 3: Choose a role

Roles determine what team members can see and do within Mindchart. Common roles include:

  • Administrator
    Manage users, settings, and access permissions.

  • Practitioner / Clinician
    Create and view measures, add notes, and review outcomes.

  • Viewer / Read-only
    View data and dashboards without editing permissions.

Roles can be changed later if responsibilities change.


Step 4: Team member completes registration

The invited team member will receive an email invitation to register.

They’ll need to:

  • Follow the registration link
  • Create their login details
  • Verify their email address

Once completed, they’ll appear in your organisation’s member list.


Managing team access

At any time, administrators can:

  • Change roles and permissions
  • Remove users who no longer need access
  • Review who has access to organisational data

This helps ensure data remains secure and access is appropriate.


Security and governance

Mindchart uses role-based access to support safe collaboration:

  • Team members only see data relevant to their role
  • Access can be reviewed and updated at any time
  • Invitations are tied to verified email addresses

Need help?

If a team member hasn’t received their invitation:

  • Ask them to check spam or junk folders
  • Confirm the email address was entered correctly
  • Contact the Mindchart team for support
